Privacy Policy
LawnNotes is a field-operations workspace for landscape teams. This policy explains what the service handles and the controls available to account holders and their organizations.

Scope
This policy applies to the LawnNotes iPhone app, lawnnotes.com, authenticated workspaces, support communications, and customer report links. It does not govern a customer's own practices after they download or otherwise receive a report.
Information we handle
Account and team information
We handle your name, email address, authentication credentials through our authentication provider, organization membership, role, invitations, profile settings, and preferences. We do not receive your plain-text password.
Property and field records
The service stores information you or your teammates enter, including company and property names, addresses, contact details, access instructions, notes, checklist answers, measurements, material calculations, comments, mentions, tasks, and walk summaries.
Photos, video, and location
LawnNotes handles photos, video, thumbnails, markup, captions, tags, before/after labels, capture details, and customer-visibility choices. If location attachment is enabled and device permission is granted, media may include capture coordinates. Camera, microphone, photo-library, and location access are used only when you invoke or enable the related feature and remain subject to device controls.
Technical information
Authentication sessions, IP address and request information, timestamps, app, operating-system or browser details, error and security records, and device-side offline data may be processed to operate, secure, troubleshoot, and synchronize the service. The web app uses essential session and report-access cookies; it does not currently include third-party advertising or cross-app tracking SDKs.
Purchases and subscriptions
Apple processes in-app payments. LawnNotes and RevenueCat process a company billing identifier, purchase and transaction identifiers, subscription product, store and currency, purchase and expiration dates, and subscription status to verify company access, restore purchases, and handle billing support. Crew members share their company's access; they do not need separate billing profiles. RevenueCat may also process technical information such as device and app versions, country, and IP address. We do not receive your full payment-card number or Apple Account password.
How we use information
- Authenticate accounts and maintain organization permissions.
- Validate purchases, maintain subscription access, restore purchases, resolve billing issues, and understand subscription performance through RevenueCat's billing dashboard.
- Save and synchronize property walks across the web and iPhone apps.
- Process media, calculate measurements and materials, and build reports.
- Enable invitations, assignments, mentions, comments, and other team collaboration.
- Provide support, diagnose failures, prevent misuse, and protect the service.
- Comply with legal obligations and enforce our terms.
We do not sell personal information or use workspace content for third-party targeted advertising.
How information is shared
Workspace information is available to authorized members of the same organization according to their role. An organization can publish selected walk information in a customer report. Anyone who receives an active customer-report link may be able to view that report until the link is revoked, so links should be shared carefully. Internal reports require current organization membership.
We use service providers to operate LawnNotes, including Supabase for authentication, database, realtime synchronization, and private object storage, and Vercel for web hosting and delivery. Authentication-email delivery may involve an email provider. These providers process information for the services they supply to us.
Apple handles App Store billing under its Privacy Policy. RevenueCat provides purchase validation and subscription management; see RevenueCat's Privacy Policy. We do not send property notes, photos, videos, or customer contact records to RevenueCat as part of subscription processing.
We may also disclose information when reasonably necessary to comply with law, protect people or the service, investigate abuse, or complete a merger, financing, acquisition, or transfer of the business, subject to applicable safeguards.
Storage and security
Workspace data is stored in access-controlled cloud services. Media buckets are private, organization access is restricted through database authorization rules, and published report access uses revocable links or authenticated membership. The web app can store an account-scoped offline workspace, pending changes, media drafts, and cached routes in browser storage. The iPhone app stores local field records and pending media so work can synchronize after connectivity returns.
We use administrative and technical safeguards designed for the service, but no system or transmission method is completely secure. Contact us promptly if you believe an account, device, report link, or workspace has been compromised.
Retention
We retain account and workspace information while it is needed to provide the service and for legitimate security, dispute-resolution, and legal purposes. Archived properties and completed walks are intentionally retained as organization history. Published report versions may remain in the organization's history even after a sharing link is revoked.
Account deletion removes or disconnects the requesting account as described on our account deletion page. Shared workspace records may remain when other members continue to use the workspace. Residual copies may persist temporarily in logs or backups when those systems are active, and information required by law may be retained for the required period.
Your choices
- Review and update profile or workspace information available in LawnNotes settings.
- Manage or cancel an Apple subscription in iPhone Settings → your name → Subscriptions. Account deletion does not cancel billing; Apple may retain purchase records under its own policies and legal obligations.
- Control camera, microphone, Photos, and location permissions in device or browser settings.
- Choose whether supported media and notes appear in customer reports, and revoke customer-report links.
- Ask your organization owner about organization-controlled records or membership.
- Request account deletion in the app or follow the instructions on the account deletion page.
Depending on where you live, you may have additional rights concerning access, correction, deletion, portability, or objection. Email support@lawnnotes.com with the subject “Privacy request.” We may need to verify your identity and consider the rights and obligations of the organization that controls shared workspace records.
Children
LawnNotes is a business field-operations service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through account registration. Contact us if you believe a child has created an account.
Changes and contact
We may update this policy as LawnNotes changes. A revised policy will show a new effective date, and we will provide additional notice when required.
